Trade show booth signage: what to put on your stand

Plan signage that visitors can understand quickly from the aisle, with clear hierarchy, useful QR actions and practical printable backups.

Trade show signage has a different job from a brochure. It has to work while people are moving through an aisle, talking to colleagues and looking at dozens of competing stands. Start with what a passer-by needs to understand in a few seconds.

Prioritise the information

  1. Who you are. Company or brand name should be immediately visible.
  2. Why someone should stop. Use one short benefit or category description.
  3. Where they are. Stand number is useful when visitors are finding a scheduled meeting.
  4. What to do next. A short URL or QR call to action can continue the conversation.

Design for aisle distance

Stand inside the aisle and check the actual viewing angle. Text that looks comfortably large on a laptop may be too small when printed and viewed from several metres away. Keep the most important words large and high-contrast, and move detailed features to product sheets.

Use QR codes with a promise

Tell people why they should scan. “Scan for specifications”, “Scan to book a demo” or “Scan for the event offer” is clearer than an unexplained code. Test the final printed sign with multiple phones and make sure the destination works well on mobile data.

A4 signs still have a useful role

Large-format stand graphics do the main attraction work, but A4 or similar signs are useful for stand numbers, QR actions, individual products, demonstration times and temporary notices. Keep those signs visually consistent so the stand does not start to look improvised.

Plan for printing and replacement

Keep the source details accessible so a damaged or incorrect sign can be replaced locally. If a QR destination might change, use a destination you control rather than printing a fragile third-party link that cannot be updated.
