Trade show promotional products and giveaway checklist

Choose giveaways that support the event objective, are practical to transport and give the team a sensible way to distribute them.

Trade show promotional products can be useful conversation starters, but they can also become an expensive box of leftovers. The safest way to plan giveaways is to decide what behaviour they should support before choosing the item.

Decide what the giveaway is for

A low-cost item handed to everyone serves a different purpose from a higher-value item offered after a qualified conversation. Decide whether you want to increase booth stops, reward completed demos, support follow-up, or give existing customers something useful.

Choose usefulness over novelty

Items that are genuinely useful have a better chance of being kept. Branded tote bags, notebooks, pens, reusable bottles and small desk accessories are common because visitors can use them during or after the event. Novelty can work, but only when it relates naturally to the brand or audience.

Calculate quantity from the event, not from fear of running out

Estimate likely booth conversations, then decide what percentage should receive each tier of giveaway. Keep some stock back for later event days. If the product is bulky, heavy or fragile, transport and storage may cost more than expected.

Connect giveaways to lead capture carefully

Do not create unnecessary friction for every visitor. If a giveaway is conditional, tell people clearly what the action is. For higher-value items, the staff member can record the lead and next action first, then provide the item. Keep a paper lead sheet as a backup if the event network fails.

What to measure after the show

Do not judge a giveaway by how quickly it disappeared. Review how many useful conversations it supported, whether visitors remembered the message, how much stock returned and whether the item created avoidable packing or freight work. Those notes make the next event cheaper and easier to plan.
