Retractable and portable banner stands are popular because they are quick to deploy and easy to transport. Their weakness is equally simple: because they are easy to add, exhibitors often use too many. Treat each stand as a single communication surface.
Give each banner one job
A banner can identify the company, explain one product category, show a strong benefit, direct people to a demonstration or provide a QR call to action. Trying to do all of those at once normally creates small text that nobody reads from the aisle.
Design for the viewing distance
- Put the most important message in the upper half.
- Keep body copy short and large enough to read without approaching closely.
- Use high-contrast text and backgrounds.
- Keep important content away from the bottom area where furniture and people may block it.
- Test the artwork at approximate physical size before approving print.
Choose the booth position before finalising artwork
A banner beside the aisle may need a stronger headline than one used behind a product demonstration. If the stand will sit next to a backdrop, avoid repeating the same headline and imagery. Use the portable banner to add information the backdrop cannot carry.
QR codes on banner stands
QR codes can work well when they are large, high contrast and positioned at a comfortable scanning height. Always test the final printed banner with several phones. Keep a short human-readable URL nearby so the call to action is not lost if scanning fails.
Transport and durability
- Use the supplied protective case.
- Label the case with the banner purpose, not only the company name.
- Check the mechanism before leaving for the event.
- Protect the printed surface from moisture and sharp hardware.
- Carry any required support feet or poles in the same case.
Setup safety
Do not narrow the aisle or entrance with a banner base. Make sure the stand is stable and not positioned where visitors or staff are likely to clip it. Venue rules and fire routes take priority over the preferred layout.
Reusable banner strategy
If you attend multiple events, keep event names, dates and temporary offers off the main reusable banner unless the graphic can be replaced cheaply. A more evergreen message gives you a longer usable life and reduces last-minute reprinting.
