1. Define one reason for exhibiting
Before ordering graphics or giveaways, decide what you want the event to produce. Examples include qualified sales conversations, distributor meetings, product demonstrations, partnership discussions or recruitment. One primary objective makes later decisions easier: what to display, who should attend and what your call to action should be.

2. Read the exhibitor manual early
The organiser's exhibitor manual usually contains access times, stand rules, badges, delivery instructions, electrical ordering, internet options, artwork deadlines and venue restrictions. Missing those deadlines can create rush charges or force compromises that have nothing to do with the quality of your offer.
3. Design for a five-second first impression
Someone walking past should understand who you are and roughly what you do without reading paragraphs. Keep the main message short. Place detailed specifications on product sheets or the website rather than turning the booth wall into a brochure.
4. Prepare a lead-capture process
Agree what information the team needs and how it will be recorded. Whether you use an app, badge scanner or CRM form, keep a paper backup. More importantly, capture the next action and its owner while the conversation is still fresh.
5. Brief the people, not only the stand
Walk the team through the objective, opening times, breaks, key messages, qualification questions and what to do with a strong lead. Make sure every person knows the stand number, meeting point and setup arrangements.
6. Pack for setup and recovery
Separate critical opening items from convenient extras. Keep essential cables, signage, badges and demo equipment accessible rather than buried under giveaways. Retain packaging and return labels so breakdown is controlled rather than improvised.
7. Follow up while the event is still fresh
Do not wait a week to sort the leads. Prioritise them quickly, send anything promised, assign owners and record deadlines. Compare the results with the objective you set at the beginning; that is what makes the second exhibition easier to plan than the first.
