Why create a trade show staff rota?
A rota prevents everyone taking a break at once and makes ownership clearer during setup, opening and close-down. It is particularly useful when the people on the stand have different roles: sales, product expertise, demonstrations, management meetings or technical support.
Overlap shifts around busy times
If the organiser publishes registration, keynote or lunch times, expect traffic to move in waves. Schedule some overlap around likely peaks and make sure at least one person who can confidently explain the main offer is present throughout opening hours.
Include responsibilities in the briefing
The rota tells people when they are present; the briefing should tell them what success looks like. Assign responsibility for opening checks, lead capture, stock or literature, photography, end-of-day lead review and breakdown so tasks do not become “everyone's job” and therefore nobody's job.
